NEWs Flash! District 80 Top 5 Club Poster Contest 2005

Dear Fellow Toastmasters, 

 

Toastmasters Awareness Month (TAM) is an annual District event where we promote Toastmasters to the general public to understand more about our organization. It is an opportunity for us to raise the awareness of Toastmasters and to share with more people about the benefits of the program.

 

As our District has a huge growth in terms of new members, I would like to take this opportunity to share with you the objectives and purpose of Toastmasters Awareness Month.

 

The Purpose of TAM is

 

1. To help the district recruit more members to your Clubs;

2. To help the district to charter more clubs and generate leads for club chartering;

3. To let the general public and organizations know more about the benefits of Toastmasters;

4. To promote the Toastmasters program to the general public and organizations

 

I am pleased to share with you the Good NEWs that District 80 will be organizing a "Top Five Toastmasters Club Poster Contest 2005" for TAM 2005

 

The Objectives of this "Top Five Toastmasters Club Poster Contest 2005" are:

 

1. To create awareness for your club's activities and monthly chapter meetings;

2. To enhance the performance and extend the network of clubs, thereby offering greater number of people the opportunity to benefit from the Toastmasters educational program;

3. To gather as club resources so others could share your success;

 

I strongly encourage all clubs in District 80 to participate in this contest and send in 1 publicity poster (per club) you designed for your club to promote your club's meetings and activities.

 

The Rules & Regulations of this "Top Five Toastmasters Club Poster Contest 2005" are:

 

1.   Should be composed primarily of original, generated material of educational value

2.   When articles or other items are reprinted from other sources, a credit line should be included

3.   The poster must include District 80 web address: www.district80.org

4.   The judges reserve the right to disqualify any entry not resembling a poster. Eg. 1 page meeting schedules or speakers' list will not be considered as poster and do not qualify for this contest

5.   Please include space for Club Name, meeting time, location, and contact information using A4 size paper

6.   Submission format: Microsoft Word.doc file or Microsoft PowerPoint.ppt file

7.   No illegal or unlicense software should be used to create your club poster

8.   No illegal or unlicense clip arts, stock photos, fonts etc should be used to create your club poster

9.   The judges' decision are final

10. Submission Deadline: 15th March 2005

11. Submit your entries to: pohks@singnet.com.sg (Only 1 entry per Club)

12. Name of winners will be announced on the District 80 website

13. Winners will be contact directly in April 2005

14. All submissions become Toastmasters International District 80 propperty and as such may be used in print and/or electronic media.

15. Selected posters will be made available through District 80 website for members to download and use for marketing purposes

During the Talk up Toastmasters! membership contest, encourage your members to invite guests to your club meetings.

Consider conducting a special guest meeting - where you conduct a regular meeting, but also specifically discuss the benefits Toastmasters members receive as they participate in the program.

Check out your guestbook and invite those who has not since attended your meetings.

Invite your ex-members..... invite them to re-join the club.

Have a campaign for the members who bring the most guests and also another one for those who sponsored the most members.

Add five new / reinstated members to your roster between February 1 2005 - March 31 2005, to receive a special Talk up Toastmasters! ribbon to display on yours club banner.

Right Time & Right Place To Do The Right Thing....Do It Now!

 

Dear Fellow Toastmaster,

Parliamentary procedure
is about the correct way to conduct a business meeting.

Protocol is about the proper etiquette for recognizing and honoring those in position of leadership. It provides a means of honoring the office regardless of the individual.

 With regard to introductions
X      when introducing guests - start with the one of the highest rank

X      when introducing speakers - introduce the one with the highest rank last

X      when making informal introductions before or after a meeting;

- a young person is introduced to an older person
- a man is introduced to a woman
- a guest is introduced to a host
- a person without rank is introduced to one with rank

By the way, the club semi-annual report and TI dues for 1-October-2004 to 31-March-2005 were due at TI World Headquarters on 1-October-2004.

For those clubs that have not submitted their semi-annual reports - there is hope.

Your club can still receive credit towards to
Distinguished Club Program you make your submissions by 5pm Pacific Time on Thursday 10-October-2004.

Renewal Notice Alert

RENEWALS NOTICE ALERT … DUES ARE DUE!

The Dues Renewal Invoice for the October 1, 2004, through March 31, 2005, period has been mailed to the club presidents of record .   If you haven’t received it by now, call world headquarters and request a replacement immediately. More than likely, WHQ have the wrong name or address for your president.

Dues for this period are due at World Headquarters by October 1st. To receive on-time credit in the Distinguished Club Program, your renewal must be received at WHQ by 5 p.m. Pacific Time, October 10.

DO NOT WAIT UNTIL THE LAST MINUTE TO RENEW YOUR MEMBERSHIP!

 

PAYING YOUR DUES ONLINE

Clubs who are paying for members listed on the renewal form have the option of paying dues renewals online using a credit card. To expedite the processing of renewals, we strongly suggest that you pay the renewal fee online. Your club receive a confirmation notice, and the renewal will be processed immediately. Each club President should have received a password in order to enter into the secure part of the Toastmasters Web site. The password is included in the dues renewal mailing. The mailing includes instructions on how to enter the secure site. World Headquarters accepts MasterCard, VISA, American Express.

 

PAYING VIA CHECK

If your club is paying by check, you must submit your renewal by mail. The renewal is not considered complete until the invoice and check are are received.   Faxing a copy of the dues renewal invoice and a copy of the check does not fulfill the submission requirements.

Some helpful hints:
1.        Submit dues by one method only, either by credit card or check. Please do not send duplicates. For example, if you submit dues online, do not mail a copy. Or, if you fax in the renewal, please don’t mail another copy to WHQ.

2.        Do not e-mail your renewal to World Headquarters with credit card information as e-mail is not secure.

 

SSL, FAX and U.S. mail submissions are secure. DO NOT submit your dues renewal invoice/list of members and payment separately. To avoid delays and potential error, include your complete payment information and list together.
 

1.        Collect and submit dues for all renewing members. Do not delay your dues submittal past the deadline. Dues for late-paying members can be submitted to WHQ after the initial submission of 6 members or more.

2.        Make sure that you keep a copy of the original invoice for your records. An easy way to submit late-paying members is to circle the names of the members paying late on a copy of the original invoice and submit the marked invoice along with the payment for dues. Otherwise, the club will have to submit a completed membership application form, marking the circle next to the words "renewing." Clubs can also submit dues for late-paying members in letter form.
