Cemerlang, Gemilang dan Terbilang

Excellence, Glory and Distinction - Many Malaysians will find this manifesto in the recent elections very familiar.

Any club that meets with the purpose of the 'bringing out the Excellence of the members" will indeed add value to the members, the clubs, the areas, the divisions and ultimately the District.

Being the best and bringing the best will help one achieve the "glory" of having beaten one's own record, not so much in beating others.

And this will add further to the distinction of belonging to a top district in the world...and knowing that we have given off the best and brought out the best in others.

What are you doing to bring out "Cemerlang, Gemilang dan Terbilang - Excellence, Glory and Distinction" of your friends, family members, associates, members of your club?

Bring more guests to your clubs and help them achieve "par excellence" in their lives.

Why Build New Clubs ?

  • to enhance the performance of Toastmasters Clubs, and to extend the network of these Clubs.

  • to begin with, an increased number of Clubs means that a greater number of people will benefit from the Toastmasters
        educational program.

  • Organizing new Clubs also provides members with a terrific opportunity to develop and extend their own leadership skills.

  • it is an excellent way to promote the public awareness of Toastmasters.

  • extending the benefits to greater numbers of people.
  • offering better communication skills to community members and company employees.

  • leadership development, contacts and leadership recognition.

  • What are the minimum requirements for a Club ?

  • all clubs must charter with a minimum of 20 members. Why the 20 member minimum ? Experience has shown that Clubs
function best when thye have enough members to participate in the many meeting roles. Clubs with 20 or more members also
have a larger pool of talent.

  • of the minimum 20 members, at least 17 of those members cannot belong to another Toastmasters Club; unless it is an
        advanced club.

  • Types of Clubs

  • Community clubs

  • Corporate Clubs
    Develop your leads

  • notify and work with the marketing team.

  • ask for help from an experienced club builder.

  • identify and work with a reliable contact person.

  • be positive, an energized, confident attitude is an immediate confirmation of the the value of Toastmasters.

  • be professional - plan your presentation carefully, making sure to have all necessary information at hand.

  • set a time for the demonstration meeting - Work with a core group in the sponsoring company or community.

  • Hold a dynamic demonstration meeting !

  • try to get at least 30 people or more to attend the first demo meeting.

  • put on a quality program - what Toastmasters can do for you ? Everybody's talking about Toastmasters !

  • encourage commitment - before adjourning the meeting, be sure that dues are collected and the time and place of next
        meeting is announced.

  • elect the protem committee for the club.

  • distribute Toastmasters International promotional material to the prospective members.

  • assign club mentors.

  • organize speechcraft for the new members.

  • keep District Governor, Lieutenant Governor Marketing, Division & Area Governors informed of your progress.

  • encourage all potential members to sign up for membership within 30 days.

  • From Chartering to Charter Presentation

  • call or send a request to Toastmasters International's membership and club extension department for a New Club Information kit or check with LGM, Lieutenant Governor Marketing.
  • complete the "Application to Organise" as soon as possible. Send 2 copies to the District Governor and 2 copies to World headquarters. The charter fee is US$95 for a new club; collect service charge of US$16 and per capita membership fee of US$18 per every new member.

  • adopt the constitution and bylaws for Toastmasters clubs as soon as a minimum of 20 members is established.

  • submit the charter application to World Headquarters together with the necessary fees.

  • allow 6 to 8 weeks after submission of forms and remittance to receive confirmation of the club's charter and charter number.

  • help to organise the charter night and the presentation of the charter certificate.

  • mentors need to help the club for a mininum of 6 months.

How to Conduct a Membership Drive

Recent research shows that Toastmasters members want more people in their Clubs!

More people means more variety, more ideas, more input, and better learning.

In addition, many of the members of your Club will leave this year -  and you'll need to replace them to keep your Club going.

For your membership drive to be successful, all of your Club members need to participate. You may choose to divide the group into teams, or award points individually.

Either way, choose awards that will encourage all of the Club's members to participate. Sometimes, team pride is enough.

In some Clubs, the second place team treats the winners to a meal. Individual awards can range from speaking related books to a special trophy or plaque. Make sure that income from the new members will be sufficient to cover the cost of the awards.

What to do with Negative People in the Club?

They will complain about everybody & condemn everyone... after a while you know the problem is not with everyone else ... but the one who complains

    • Cut them off whenever they complain about someone.
    • Say something positive about others when they start their tirade
    • Tell them you are not interested to listen to such emotional gabbage
    • Walk away if necessary

    Adding VARIETY to your CLUB

Celebrate occasions together and have Theme meetings.  Get your members to invite their friends.

Revolve Deepavali, Hari Raya, Christmas, Thanksgiving & Chinese New Year celebrations into your meetings.

    18 Aug 2003

    Dear Fellow Toastmasters

Greetings from Atlanta, the birthplace of Coca Cola & where CNN HQ is, where the Toastmasters International Convention will be held this year. This is my 2nd visit to Atlanta, the last was 1-1/2 years ago for a business trip, and co-incidentally my 2nd visit to the TI Convention.

    TRAINING

The top district officers are now being trained to prepare us for the challenges ahead. We've a full day of training and tomorrow we'll have another day. The training is indeed rigorous and yet interesting. Although we are so tired after almost 24 hours of traveling, we know that we have TMs like you behind us in spirit.

The momentum is indeed very fast and challenging. Many are impressed whenever they realized that we are from the No 1 district in the world….5 times winner… It is indeed a proud moment for us whenever they say….Wow!..you are from District 51.

    CRITICAL SUCCESS FACTORS

The emphasis of training  is to help us focus on the Critical Success Factors ...and that of Marketing  ie to extend the benefits of Toastmasters

Many of us used to think that we already have too many clubs….in our country…but during the training, we realised that actually we have not reached the pinnacle yet…for every 10,000 population ..we need a TM CLUB. That means for :

    1. Singapore   …            with a population of 4 million we need 400 clubs ?
    2. Hong Kong …           with a population of 6.7 million we need 670 clubs ?
    3. Thailand     …            with a population of 65 million we need …?
    4. Malaysia ……           with a population of. 25 million we need ….?
    5. Indonesia  …             with a population of 210 million we need ..?
    6. Brunei ...                    with a population of 300,000 we need …?

The numbers sound intriguing, isn't it?

    Regional Speech Contest

On Tuesday, we look forward to the Regional Speech Contest whereby Donald Yee from Hong Kong will represent D51. The winner of the Regional Speech Contest will then proceed to the World Championship of Public Speaking during the convention next week. Last year, our own Ramesh from Singapore emerged 2nd in the Regional contest.

    ELECTIONS

At the same time, we are hoping that DTM Maimunah will be elected as an International Director for the overseas district. Do pray for her success..

    THANK YOU

Thank you to those of you who have responded by saying that your club has already recruited in excess of the Smedley award and also to those of you who are expanding your horizons by conducting Speechcrafts. You are indeed an inspiration to all of us here. It is people like you who give us the moral courage and strength.

Have a great week ahead, Ping

    12-08-2003

" This email goes out to District Officers & CLUB OFFICERS "

    Dear District & Club Officers,

It is now time to send out Notice for Membership Renewal to your members.

Your club needs to pay the Semi Annual Dues to TI BEFORE 1st Oct 2003

    • To remain in good standing,
    • To ensure that your contestants for the coming speech contests are in good standing, so that your contestants do not get disqualified at some stage of the contest (every year - we do have some happening)

Please send out the Notice to the members to

    • pay to the club by 10th September, then the club can
    • pay to TI before 18th September,

Let us enjoy the process of leadership
    Let us start early
Let us not stress ourselves with administrative headaches.

Every year, many clubs write to TI at or around 1st Oct to ask them to acknowledge receipt and TI has to reply to more than 8600 clubs. And they probably don't have the resources to do so.

If we prepare & submit the semi annual dues early, then we have a longer turn-around time to resolve any issue on credit card payments/bank drafts/Telegraphic Transfer or whatever problems that may arise. We will also have time to check the TI website to see if payment has gone through and the semi annual dues have been registered. But if we pay in late September, TI will take more than a week to update the website, & any problems sorted out later may end up in the dues being submitted late.

TI has a strict policy that deadlines are strictly adhered to to qualify for awards, no matter what good reasons we have, so in all cases, no waivers are given for DCP points.

Let us use our energies to concentrate on the members' needs - so it is also good that your club collects 1 year dues, if possible as the district will be coming up with an award for clubs that collects one year's dues (ie from Oct 03~Sep 04)

Let us continue to Expand our Horizons, as you embark on this journey on leadership looking after the diverse needs of the members. Whether we serve our members and enthuse them to get new members are all in your hands, because your Dreams are your possiblities.

In the meantime, go for the Smedley Award & enthuse your members to bring guests to your club meetings & make your meetings a memorable "Moment of Truth" for your guests and your members. I am very encouraged by the many responses to my recent email on the Smedley award from club leaders that their clubs have already signed up more than 10 members in the month of August alone.....

    regards,

    Patrick Oei DTM

PS; Please note that I will be away from 14th Aug to 27th Aug for the TI convention with the other District Officers.

    06-08-2003

    Dear Fellow Toastmasters,

Our late Founder Ralph Smedley, would like us to enthuse our members to extend
the benefits to our friends, colleagues, and associates.

In the months of August & September, any club that recruits at least 5 new members,
    and/or re-instated members,
would receive the Smedley's Award - a long ribbon to be pinned to your club banner.
    Go for it!

I have just returned from my visit to Medan, Indonesia, & I am so encouraged
by the response of the clubs, who have pledged to be President's Distinguished
Clubs this term. They set the goals themselves and are so committed and so enthusiastic
about it. I am sure your club will set a goal for yourselves....and getting 8
new members should not be a problem. Indeed I am encouraged by the many clubs
leaders I met in Singapore and Malaysia too at their COTs/Installations  that
8 members is only the base that they are going for,...many are aiming for more
than that figure as many recognised the fact that every year, we will have some
members not renewing....and that we need new blood to ensure club renewal and
    club growth.

Besides getting new members, your club can help by contacting your old members
too & inviting them to join you for your meetings...again..and to return and
continue to benefit from Toastmasters. Go through your guests books and call
up your guests who did not join your club..and invite them again....

I am sure as leaders, we all recognise that we want the best for our clubs. Go
for the Smedley award. Go for excellence in club meetings.
Go and meet the members' needs. I know you can ...help expand our horizons ..in
    leading, speaking and in serving.

    Have a great week ahead.
